Program Support Specialist

Position Summary: This position will provide administrative oversight and financial support to the staff of the Forensic Services Unit (Conditional Release, OCRP, OARS, and Court Liaison Services)
Essential Functions:
1. Responsible for providing support to the Forensic Team (Conditional Release, OARS, OCRP, and Cou! rt Liaison staff) as needed (memos, letters, copy, fax, scan, filing, mailings, etc).
2. Provide accurate, relevant information to key stakeholders in the criminal justice system, treatment community and general public (including DHS, court personnel, MHI admissions, DOC, jail transport, WFU, WSP, etc).
3. Ensure appropriate court documents specific to NGI, OARS and OCRP clients are disseminated as per protocol (or as requested by staff) to DOC, DHS, WMHI, MMHI, WSP, Milwaukee County, and other parties.
4. Secure required documents (court orders, criminal complaints, forensic evaluations, and community/institutional records) for NGI, OCRP and OARS clients from appropriate entities.
5. Monitor monthly billing process, ensuring timely billing by providers. Checking incoming billing for accuracy and completeness. Interact with contract providers to discuss the billing process
6. Copy and distribute client stipend requests, working with accounting to ensure ! the effective and timely processing.
7. Provide assistance! compiling and assembling financial data for reports using available resources
8. Monitor incoming money due to the program, ensuring timely back billing of MA by providers when appropriate.
9. Maintain overall filing system including client files, records, logs and listings according to established systems using the designated client files, FSIS, the Conditional Release database, Microsoft Word and Excel spreadsheets.
10. Perform data entry using multiple data fields and sources of information, including case notes for all client and program related activity in the program’s database
11. Create templates for program reports, court letters and other documents as needed.
12. Provide assistance compiling and assembling data for reports using available resources.
13. Complete CIBs on all CR and OARS admissions
14. Maintain client appointment schedule for program psychiatrist; downloading and tracking completed dictations
15. Provide quality as! surance for Conditional Release, OCRP, OARS filing and data entry; checking for accuracy and completeness.
Job Qualifications:
Minimal Qualifications and Salary Schedule:
High School diploma/equivalency required. Associates degree accepted, bachelors degree preferred, plus 2 years of experience working with office/financial related activities. Must pass the Agency criminal background check, as well as the Caregiver’s background check.
Knowledge, Skills and Abilities:
Above average communication and writing skills necessary; good organizational skills; proficient computer skills including Microsoft Word, Excel, Power Point; ability to work with multiple databases; typing skills [60 WPM]. Must be flexible and be able to handle confidential information in a sensitive manner. Ability to interact with individuals diagnosed with mental illness. Ability to work independently with a minimal amount of supervision but must be a str! ong team player as well. Ability to multi task, take initiative and app! ly knowledge to variety of circumstances.
