Outpatient Service Representative

Location: Wausau, Wisconsin

Description: North Central Healthcare is at present recruited Outpatient Service Representative right now, this vacancy will be delegated in Wisconsin. This is a 40 hours per week, Monday - Friday day shift/varied hours position (rotating shift to provide coverage) in our Outpatient Services department. No weekends.

QUALIFICATIONS:
High school graduate with some technical training in general clerical courses such as computers, word processing, communication skills, or two years experience in a medical office setting.

Word processing skills.

Transcription experience preferred.

Must pass criminal background check.

Must be physically able to perform work duties.

Must be able to follow written and oral direction in English.

Must provide proof of employment eligibility.

DESCRIPTION OF JOB:
Generate daily provider schedules and logs

Confirm client charts are a! vailable for provider’s scheduled day.

Distribute c! lient charts to appropriate provider.

Greet clients and visitors upon arrival utilizing customer service standards.

Registers clients, verifies and updates client demographics and insurance payor source, and other necessary information.

Collect client copayments

Schedules and coordinates client appointments

Schedule interpreter if applicable.

Answer telephone and direct all incoming calls/faxes to appropriate individual/department. Take telephone message as needed.

Order client charts to have available with telephone message.

Distributed samples and/or prescriptions as prepared by nurses or psychiatrists.

Assist client in completing release of information forms.

Review and distribute incoming mail and fax requests to appropriate individual or group. Request chart as appropriate.

Client appointment confirmation telephone calls

Update provider schedules in MT scheduler ! system.

Schedule and reschedule client appointments as indicated by provider.

Generate and distribute continuing education calendar monthly

Order requested office supplies.

Assist in the care and maintenance of department equipment (including Polycom).

Confirm contracted services time (psychiatrists, interpreter services, etc…)

Process PASSARS

Assist with the preparation of materials (copying), agendas, notes, handouts.

Operate office equipment (fax machine, telephone, computer, printer, copy machine, calculator, etc.)

Schedules meeting, events as directed.

Prepare/order materials to be copied and/or distributed

Mailroom is maintained with adequate supply of forms, crisis packets, etc.

Distribute consumer satisfaction surveys and enter survey response in Qualtrics

Client appointment confirmation/reminder calls.

Prepare client discharge letters

Complete system update forms as appropriate

Complete buil! ding work-order requests and send to county maintenance department.

Balances cash drawer daily and deliver client payments to patient accounts department (Marathon)

Accounts receivables and bank deposits (Lincoln and Langlade Counties)

Maintain ability to pay program (Lincoln and Langlade Counties)

Client insurance/payor source verification (Lincoln and Langlade Counties)

Track commitments and settlement agreements (Langlade County).

Score and graph questionnaires (Conners, Achenbach, MMPI-2, etc.) (Langlade County)

Confirms EAP appointments with EAP company and obtains authorization for EAP sessions. Faxes monthly EAP logs to data systems. (Langlade County).

Contacts insurance company to verify pre-certification required, creates tracking form and document authorization (Langlade County)

Runs portal to obtain MA coverage for every client and tracks enrollments. (Langlade County)

Compl! ete AODA orientation/TB questionnaire (Langlade County)

Monitors MT Scheduler for obtaining Medicare Admission form compliance (obtaining signatures from clients every 3 months for ongoing clients.) (Langlade County).

Maintain patient confidentiality.

Duties as requested by supervisor.

Psychiatry Services:
Enter billing in software for psychiatry providers

Indicate next available series of appointments for psychiatric providers.

Document client no-shows or same day cancellations in medical record

Contact clients informing them their prescriptions are available.

Complete lab slips

Complete payroll variances forms for psychiatrists

Complete annual psychiatry on-call schedule. Distribute monthly psychiatry on-call schedule.

Transcribe dictated letters

Generate and mail psychiatry discharge letters and system update form

Set-up connection for telepsych! iatry

Escort client to waiting room, complete/update client co! nsent for telepsychiatry,

Escort client to telepsychiatry clinical room.

Escort client to schedule next appointment

Manage psychiatric evaluation schedule and wait list. (Langlade County)

AODA/OWI:
Prepare OWI packets for assessor, print cover letter, police report and necessary information from DOT.

Prepare and send required paperwork for OWI and Driver Safety Plan to appropriate agencies and export information to the Department of Transportation.

Review court orders and determine non-compliance for not scheduling OWI appointment, complete paperwork and have assessor sign, make copies, and send to client.

Collect payments for OWI assessments.

Monthly review of OWIs for accuracy in billing and open episodes.

Compile information from probation and outpatient for the Driving With Care Program. Initiate tracking form, send letters (copies for County, NCHC client record, and Facilitator ! of Driving With Care Program). Contact probation and client if necessary.

Track Driver Safety Plans that are in compliance/non-compliance, working with therapists to have DSPs completed and exported to DOT in a timely fashion.

Track court orders received from courthouse, sending out seven day warning letters for those that have not contacted the agency.

Enter DSP completion into system and sending a copy of completion to client when notified by therapist that client has completed.

Export electronic DSP information to DOT at least weekly, reporting completions, assessments, and compliance.

Generate attendance roster

Generate client completion certificates

Track yearly progress of Driving with Care group

MEDICAL RECORDS (LINCOLN & LANGLADE COUNTIES)

Processing requests for records from outside agencies with an approved Release of Information. Checking for records in client charts, Laserfiche, and! eCET for all records being requested.

Sending to requestor by! fax/mail and noting on ROI what records were sent.

Retrieves and files medical records (i.e. treatment plans, reviews, financial, correspondence, etc) as requested by counselors, therapists, clinicians, physicians, nurses, auditors, etc. into medical record folder.

Send all AODA assessments and tracking down to Dr. Ticho to sign and process when returned.

Send out all assessments and discharge summaries on clients to primary doctor, referral agency, or Probation and Parole and note on ROI.

Creating and calculating billing information for medical requests that are charged for.

Updating insurance releases and insurance information daily.

Thinning of all CSP and OP charts when necessary.

Preparing closed charts for scanning (Laserfiche) and track and send to Health Information.

Chart set-up for new clients, finding old information (chart) for clients seen in the past. ROI, WAID, and opinion sheets filled ! out and included in the chart.

Prepare dictation recorder, mail dictation tape to transcriptionist, print transcribed documents, compare logs to ensure all dictation is completed, and distribute dictation for signature (Psychiatry only).

Cut obituaries from local paper for client record.

COMPENSATION:
Competitive wage based on Average Market and experience.
