This position will provide administrative support in the Department of Psychiatry and Behavioral Medicine Clinics ! to include
back-up to numerous billing, scheduling, insurance and registration functions.
Under general direction, this position will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures.
In addition to direct secretarial support to faculty and allied health staff, this position will provide other administrative tasks to support clinic operations and facilitate patient flow and clinician efficiency including patient check in/out, answering the telephone and directing calls.

ESSENTIAL DUTIES
1.
Provide support and assistance to the Quality Analyst and Clinic Referral Coordinator including backup to numerous billing, scheduling and registration functions. Work with databases, spreadsheets, verify cash postings, missing charge reports, insurance verification and referrals.
2.
Provide administrative support to the Medical Director, clinic faculty, residents and staff.
Compose correspondence, reports, memorandums and other! documents using basic and more advanced functions of computer applications and software packages.
3.
Perform daily organizational and computer tasks per clinic protocol.
Responsible for maintaining patient flow and work flow, work collaboratively as a team member with the clinic staff and provide high quality and efficient service to patients, clinic faculty and staff.
Maintain patient confidentiality.

Assist with quality control measures.
5.
Facilitate patient flow and clinician efficiency including patient check in/out, answering telephone calls and directing messages.
Collect payment for services rendered.
6.
Take incoming telephone calls, respond to routine inquiries, route calls to appropriate area, request medical records and provide patient information as needed in accordance with MCW and HIPAA policies.
Route correspondence appropriately.
7.
Maintain working knowledge of MCW and affiliates’ computerized sc! heduling and billing systems (i.e., IDX, Epic).
OTHER DUTIES
Perform other duties as assigned.
MINIMUM POSITION QUALIFICATIONS
Appropriate education and/or experience may be substituted on equivalent basis
Education:
High School Diploma or equivalent
Experience:
5 years of progressively responsible administrative support experience with strong emphasis on public contact/customer service.
Prior experience in an inpatient or outpatient mental health clinic preferred. Proficiency in word processing, with an advanced knowledge of database and spreadsheet software, preferred.
Certifications/Licenses:
None.

Excellent oral and written communication skills are essential.
